Data Retention – How Long We Keep Your Data
We will not keep your personal data for longer than is necessary for the purposes for which it was collected, unless a longer retention period is required or permitted by law. Retention periods can vary depending on the type of information and the reason we have it. Here is how we manage retention of different categories of data:
Client Account and Contact Data: If you have an account with us or regularly attend classes, we will keep your personal details on file for as long as you continue to be an active client. If you stop booking classes or interacting with us, we may retain your basic information for a period after your last visit in case you return or have inquiries. Typically, if a client has not attended or contacted us in about 2 years, we will consider their account inactive and may remove or anonymize personal data associated with it. (We may reach out before removal to confirm if you want to remain on our records.)
Health and Emergency Information: We retain health information and emergency contact details only while you are actively attending our classes, because this data is needed to ensure your safety each time you participate. If you have not attended any classes for a long period (e.g., 1 year) or if you inform us that you will no longer attend, we will delete the health and emergency contact information from our records. You can also request that we delete this sensitive information at any time, and we will do so (provided it’s not needed for an ongoing class or legal reason). We may ask you to update your health info periodically to ensure it remains accurate, and old information that is no longer relevant will be discarded.
Marketing Subscription Data: If you have subscribed to our newsletter or marketing emails, we will keep your contact information on our mailing list until you unsubscribe or otherwise ask to be removed. If you opt out of marketing, we will immediately remove your email from our active mailing list. (We may keep a record that you opted out, to ensure we honor your opt-out going forward.)
Transaction and Payment Records: We retain records of payments, invoices, and transaction history as required for financial reporting and compliance. In the UK, we are generally required by law to keep financial records for six (6) years for tax and accounting purposes. Therefore, if you made a purchase or payment, the record of that transaction (which might include your name, the date, amount, and method but not your card details) will be kept in our accounting files for up to 6 years. After that time, it will be securely disposed of.
Website Analytics Data: Data collected via Google Analytics is retained according to Google’s data retention settings. Currently, we set our Google Analytics retention to the default (often 14 months or as configured), which means that data identifying a particular browser or device is deleted automatically after that period. We mainly look at aggregate trends rather than individual visitor data. We do not store raw web server logs containing IP addresses for longer than a few months, unless needed for security analysis.
After the applicable retention period has ended, we will either delete your personal data securely or anonymize it (so that it can no longer be associated with you) for statistical purposes.
